Agreement & Acceptance
These Terms of Service ("Agreement") constitute a legally binding agreement between you ("Client", "Organizer", "Host", or "You") and Varanasi Ganga Aarti ("Organization", "We", "Us", or "Our"), governing your access to our website (www.varanasigangaarti.com) and the booking, coordination, and execution of live Ganga Aarti ceremonies and Vedic services.
By submitting an inquiry, paying an advance reservation token, or signing a customized ceremony quotation, you acknowledge that you have read, understood, and agreed to be bound by these terms. If you are contracting on behalf of a corporate entity or wedding planning agency, you warrant that you possess full legal authority to bind that entity.
Scope & Nature of Services
Varanasi Ganga Aarti provides authentic ritual execution by bringing certified Banaras Vedic Acharyas, traditional brassware, and ritual choreography to destination events:

- Multitiered Brass Aarti Lamps & Agni Kund
- Shankhnaad (Conch Shells) & Ghanta (Bells)
- Damru Vadan & Dhoop Aarti setup
- Sacred Samagri (Ganga Jal, Camphor, Incense)
- Destination Weddings & Sangeet Invocations
- Corporate Galas & Global Tech Summits

The exact number of priests, stage platform configurations, and specialized ritual elements (such as Maha Aarti or customized Vedic chanting) are governed by the specific quotation package selected by the Client.
Booking, Dates & Quotations
Date Reservation: Wedding season and festival dates are in exceptionally high demand. An event date is confirmed on our operational calendar only upon receipt of the agreed initial advance token payment and written confirmation from our concierge.
Quotation Validity: Formal quotations issued by Varanasi Ganga Aarti remain valid for fourteen (14) calendar days from issuance. After this window, package pricing and Acharya availability are subject to reconfirmation.
Booking Details: The Client agrees to provide accurate venue information, event timings, stage measurements, and on-site contact persons at least seven (7) days prior to the ceremony.
Payment Terms & Invoicing
Unless expressly agreed otherwise in a written corporate contract, our standard payment schedule is structured as follows:
Accepted payment methods include NEFT, RTGS, IMPS, UPI, and official wire transfers. Tax invoices with applicable GST will be issued upon clearance.
Venue, Stage & Fire Safety
To conduct a majestic, dignified, and safe ceremony, the Client and venue management must fulfill standard setup conditions:
- Platform / Stage Requirements: A level, sturdy stage or raised dais with adequate space for each performing Acharya (minimum 4 ft x 4 ft per priest), positioned facing the audience or sacred water body.
- Open Flame & Aarti Lamp Clearances: Traditional Ganga Aarti involves open flame camphor, oil lamps, and incense. The Client is responsible for securing local venue permissions and indoor banquet fire safety waivers where applicable.
- Audio / Sound System: High-fidelity PA system with cordless collar or lapel mics and stand mics for conch blowing (Shankhnaad), Vedic mantra recitation, and ghanta bell chimes.
- Clean Green Room: A secure, clean, smoke-free changing room for the Vedic Acharyas to prepare sacred vestments (dhotis, kurtas, angavastrams) prior to stage entrance.
Priest Logistics & Hospitality
Our Vedic Acharyas carry forward sacred spiritual lineage. When traveling for outstation or destination events:
Travel Arrangements: Round-trip travel (flights, trains, or chartered vehicles) between Varanasi and the event city must be arranged as specified in the booking quotation.
Lodging & Hospitality: Respectful, clean, and secure hotel accommodations near the venue must be provided.
Satvik Meals: Pure vegetarian (Satvik) meals and clean drinking water must be arranged during the entire stay.
Timing & Schedule Adherence
Our team arrives at the event venue 60 to 90 minutes prior to the scheduled ceremony start time to assemble brassware, light preparatory wicks, and coordinate audio levels.
Because destination events can encounter timeline delays, our team accommodates reasonable event schedule shifts up to 60 minutes at no additional charge. Delays exceeding 90 minutes beyond the agreed start time may require overtime coordination, subject to onward priest flight and travel commitments.
Rescheduling & Cancellations
We understand that circumstances may necessitate changing wedding or event dates. We strive to be as accommodating and fair as possible:
The Client may reschedule the ceremony to a mutually available date within 6 months at no penalty (subject to priest availability and any actual airline ticket reissue fees).
50% of the advance reservation token is refundable, minus any non-refundable travel booking costs already incurred.
Cancellations with < 15 Days Notice: Due to dates having been blocked and priests turned away from other ceremonies, advance tokens are non-refundable.
Weather & Force Majeure
Outdoor Events & Rain Contingency: For outdoor lawns, beachside venues, or open decks, the Client must have an indoor backup space or waterproof canopy ready in the event of rain or high winds, as open flames cannot be operated in direct downpours.
Force Majeure: Neither party shall be held liable for failure or delay in performance resulting from events beyond reasonable control, including extreme natural disasters, severe flight groundings, epidemics, government curfews, or civil unrest. In such cases, both parties agree to work in good faith to reschedule the ceremony.
Sacred Sanctity & Conduct
The Ganga Aarti is an ancient Vedic spiritual invocation. Guests, photographers, and venue staff are requested to maintain a respectful and serene demeanor during the ceremony:
- Alcoholic beverages and smoking are strictly prohibited in the immediate ritual altar and stage zone.
- Footwear should be removed before stepping onto the sacred prayer dais.
- Event videographers must coordinate with our ritual team so as not to obstruct the sacred sightlines or impede the priests' synchronized movements with the brass lamps.
Media, Brand & IP Rights
Client Media Rights: You and your guests retain complete rights to photograph, record, and broadcast the ceremony for your personal, wedding, or corporate commemorative purposes.
Our Intellectual Property: All website text, brand emblems, custom musical recordings, ritual choreography, and proprietary logistics workflows remain the exclusive intellectual property of Varanasi Ganga Aarti.
Promotional Opt-Out: If you prefer that our team does not capture brief documentary footage of the ceremony for our archival portfolio, simply notify us in writing prior to the event date.
Limitation of Liability
To the maximum extent permitted under applicable law, Varanasi Ganga Aarti's total cumulative liability arising out of or related to this Agreement or the services rendered, under any legal theory (contract, tort, or otherwise), shall not exceed the total fees paid by the Client to Varanasi Ganga Aarti for the specific event in question.
In no event shall Varanasi Ganga Aarti be liable for indirect, incidental, special, or consequential damages, including loss of anticipated profits or venue cancellation fees imposed by third parties.
Governing Law & Jurisdiction
This Agreement shall be governed by, construed, and enforced in accordance with the laws of the Republic of India.
In the unlikely event of any dispute or claim arising from or relating to this contract, the parties agree to first seek amicable resolution through good-faith mutual discussions. If unresolved within thirty (30) days, the courts located in Varanasi, Uttar Pradesh, India shall possess exclusive territorial and subject-matter jurisdiction.
